We have an outstanding opportunity for a Project Administrator where your broad experience working in the building/construction industry will set you up for success within this down to earth business and fantastic team environment.


Your drive, determination and love of everything project orientated will see you thrive in a role where there is plenty of variety and the opportunity to work with the MD, Project Managers and Engineers.


Duties include but are not limited to:

  • Support the MD, Project Managers and Engineers
  • Preparation of monthly invoices and progress claims
  • Preparation of monthly reporting (billings vs expenses)
  • Highlight potential issues or concerns to the PMs
  • F/up after EOM processing is complete verify billings vs expenses
  • Assist PMs with completion of regulatory documents (Form 15, 16, etc)
  • Prepare, submit and manage variations
  • Capture retentions if formed as part of the contract
  • Support PMs with all data necessary to manage their projects
  • Ensure all program and project data (cost codes, purchase orders etc) are entered in all systems
  • Assist in preparation of tender and quotes
  • Orgainse and attend project meetings including minutes of meetings
  • Document control of all drawings
  • Maintain and coordinate information for project and job files
  • Deal with purchase orders
  • Ensure insurance policies and bank guarantees have been established and maintained for the life of the project
  • Undertake cost analysis of projects
  • Review and understand relevant contract conditions
  • Maintain subcontractor register and ensure all insurance documentation is current
  • Assist with ad hoc office administrative duties
  • Proven experience in project admin within the building/construction industry including proofing quotes, tender response, building client manuals and reading through new contracts
  • Great with numbers the ability to analyse and comprehend reports, experience with progress claims, and understand cost codes etc
  • Strong skills in MSOffice
  • Word and Excel (pivot tables and the ability to analyse financial data)
  • High attention to detail critical
  • Strong use of initiative and ability to think outside the box/problem solve
  • Strong ability to build relationships both internally and externally to enable you to get the information you require to enable you to do a great job
  • Ability to work under pressure and to meet deadlines
  • Team player attitude there is such a great team here so this is really important
