Primary purpose of the role:

A ACT government organisation is looking for a high-performing Executive Assistant to join the team. The successful applicant will need to demonstrate high level of office management, organisation and communication skills.


The position works within a high performing Executive Support team, reporting to the Executive Officer, Office of the Chief Executive Officer (CEO).

The primary focus of the position is to support the functions of the Office of the CEO and work closely with the Executive support team to ensure the office runs efficiently.


DUTIES AND RESPONSIBILITIES
The position reports to the CEO's Executive Officer.

Under general direction, the occupant will:

  • Manage and maintain office systems relevant to the Executive's office and identify areas where improvements can be made.
  • Assist with coordination of division workflow and provide administrative support across the division, acting as a first point of contact for internal and external stakeholders, and other Government officials.
  • Plan, coordinate and provide highlevel secretariat support to committees and meetings including preparing agendas and papers; taking minutes and following up on action items; collate reports and papers for presentation by the Executive, and liaison with senior stakeholders.
  • Undertake highlevel coordination and liaison on division activities and maintain effective working relationships across the Institute, ACT Government and stakeholders.
  • Assist the Executive Officer in coordinating responses on a range of issues in an efficient manner, as required.
  • Maintain file records and support the team with the document management systems (HP TRIM and other programs as required) and controls.

PROFESSIONAL/TECHNICAL SKILLS AND KNOWLEDGE

  • Demonstrated highlevel administrative, organisational and coordination skills, focusing on the ability to plan, coordinate and prioritise work activities to meet deadlines.
  • Demonstrated sound judgement, and ability to work independently and collaboratively with a range of diverse stakeholders, including other administration and Executive support staff. The occupant of this position is required to be proactive, adaptable and remain calm under pressure.
  • Demonstrated ability to establish cooperative professional relationships, communicate effectively, orally and in writing.
  • Experience in an Executive Office and/or in the Australian or ACT Public Service is highly desirable.
  • Experience in the use of HP TRIM and Microsoft Sharepoint is desirable.
