About this Opportuntiy


Reporting to the Director of Marketing, Communications and Engagement, the Events Specialist will work with the Engagement team and other staff to provide an exceptional events management service in the delivery of a broad range of College activities.

The role will provide end-to-end coordination of all College events, from basic event support to full-suite event management in a variety of contexts.

The Events Specialist will also be the College's primary liaison point with College's Parents & Friends Association, providing the P&F with support, advice and assistance to implement their annual program of events and activities.


The position requires an efficient, organised and enthusiastic person with a strong sense of community and customer service, who loves events, and is committed to exceptional levels of service delivery and presentation.


Professional Responsibilities

  • Plan, administer and deliver an annual program of College events in support of the recruitment, marketing and community engagement objectives of the College.
  • Manage and coordinate events for all internal departments and external stakeholders to ensure seamless delivery of services for events staged at the College and offsite eg. marketing, recruitment and engagement events.
  • Work with key stakeholders to coordinate specific event activity. This may include but is not limited to major school events such as Speech Night and Foundation Day as well as ceremonies, social events and staff events.
  • Manage the details of all events including budgets and purchasing, programming and scheduling, catering, audio visual, venue booking and liaison, layout and seating plans, theming, registration and signage, VIP and speaker management, and attendee logistics.
  • Create and manage events in online event booking systems.
  • Assist the College P&F Executive office bearers and event organisers with planning, setup and delivery of P&F events.
  • Assist the P&F in accessing College facilities, maintenance and administrative support for their events and activities.
  • Attend regular meetings of the P&F Executive to ensure seamless communication and coordination between the College and the P&F Association

Desired Skills and Experience:


Mandatory Requirements

  • Tertiary qualifications in a related field of study eg Marketing, Hospitality, Events Management.
  • Hold or ability and willing to obtain a Working with Children Blue Card.
  • Compliance with the QLD Health Direction and the PMSA's COVID Vaccination Policy.

Qualifications, Experience and Skills required

  • Demonstrated experience in event management, including logistics, catering, budget, programming and client liaison.
  • Highly developed skills in time management and project planning.
  • Highly developed written and oral communication skills and exceptional attention to detail and quality.
  • Intermediate ICT skills in the MS Office suite (Outlook, Word, Excel, PowerPoint).
