    Job Description:

    We're on the lookout for a skilled Office Manager to supervise administrative tasks and office operations. As an Office Manager, you'll be pivotal in fostering a productive and positive work environment, ensuring smooth communication, organization, and safety measures.

    Responsibilities:

    • Handle all office management duties, including:
    • Maintenance
    • Mail distribution
    • Ordering and managing supplies
    • Equipment upkeep
    • Managing bills
    • Running errands and overseeing shopping needs
    • Schedule and manage meetings and appointments
    • Organize office layout and ensure availability of necessary supplies and equipment
    • Maintain office conditions and coordinate repairs when necessary
    • Work with HR to update and enforce office policies
    • Optimize office operations and procedures
    • Communicate with the IT department for office equipment requirements
    • Ensure timely invoicing and payment processing
    • Handle contracts and negotiate with office vendors and service providers
    • Supervise office budget, ensuring accuracy and timely reporting
    • Offer general assistance to visitors and aid in onboarding new employees
    • Address employee inquiries regarding office management matters
    • Coordinate with facility management vendors for various services
    • Plan and coordinate office-related activities, both in-house and off-site

    Requirements and Skills:

    • Demonstrated experience in Office Manager, Front Office Manager, or Administrative Assistant roles
    • Familiarity with office administration duties, systems, and processes
    • Proficiency in MS Office, particularly Excel and Outlook
    • Hands-on experience with office equipment like fax machines and printers
    • Knowledge of email scheduling tools such as Email Scheduler and Boomerang
    • Effective time management and multitasking skills
    • Strong attention to detail and problem-solving capabilities
    • Excellent written and verbal communication abilities
    • Outstanding organizational and planning skills for fast-paced environments
    • Innovative thinking and ability to propose and implement enhancements
    • Qualifications as an administrative assistant or secretary are advantageous
