Your opportunity


The position of Executive Assistant provides a high level of confidential secretarial, administrative and executive support services to the Director (Clinical Services).

The role also supports the effective functioning of the broader Clinical Directorate.


The role focuses on coordinating work within the Clinical Director's portfolio, ensuring administrative, information and communication systems and processes are clear, aligned and support the priorities of the Directorate.

Some of the functions of the role include but are not limited to:


  • Highlevel administration, communication and coordination activities for the Director (Clinical Services).
  • Manage and coordinate the Director's calendar by scheduling meetings, researching and preparing travel itineraries and facilitating other commitments as required.
  • Examine, evaluate and prioritise correspondence and papers for the Director's attention.
  • Schedule and monitor completion of tasks or submissions against due dates (e.g., Board reports, projects and tenders).
  • Proactively follow up and collate responses for review by the Director to assist in preparation of reports, submissions and other documents.
  • Ensure efficient and effective office management practices by maintaining a comprehensive range of administrative and records management procedures and systems.
  • Support ongoing review and enhancement of clinical policies and procedures. Coordinate, minute and prepare agendas and papers for meetings such as the Clinical Governance Committee, Clinical Directorate, Clinical Sub-Committee of the Board, Research Partnership, Research Working Group and Clinical Audits and Reviews.

What you'll bring

  • Demonstrated experience in a similar position working closely with executive employees and/or board members.
  • A high degree of confidentiality, discretion and attention to detail.
  • Highly developed verbal and written communication skills.
  • Demonstrated ability to establish and maintain effective working relationships and work flexibly as part of a team.
  • Application of sound judgment to make appropriate decisions within the scope of the role and develop practical solutions to issues as they arise.
  • Energy and skills to organise and prioritise multiple work activities to meet deadlines and consistently deliver to a high standard. High level of proficiency in Microsoft Office suite, particularly Teams and OneDrive, and experience in the use of other business and/or clinical systems. Demonstrated use of productivity software, communication tools, project management systems, virtual meeting platforms and emerging solutions including AIbased resources such as Microsoft Copilot will be highly regarded.

The remuneration range for this position is $85K - $95k base salary, plus salary packaging, Superannuation, leave loading (17.5%), and 5 additional days of paid Wellbeing Leave.
