ING, Australia's most recommended bank is looking for an experienced
Team Administrator who has a specialisation in
Document Management and Control.


We're on the hunt for someone with a solid and competent administration level who has intermediate Word and Excel skills, strong numerical & communication skills, attention to detail, and a strong client service focus.


You'll ensure all Facilities contracts and agreement are up to date and in order and provide a range of administrative functions to the Facilities Team, Head of Property & Facilities & the Facilities Operations Manager.


You'll work closely with a wide range of stakeholders both internally and externally including Procurement, Tax and Legal teams to understand all aspects the Contracts process, in order to prepare Statement of Works and agreements as they relate to our suppliers.


What you'll do

  • Contract Administration: Oversee all aspects of vendor contract administration, including management the Contract spreadsheet listing all key details, preparation of Statements of Work, liaison with Procurement & Legal Teams & coordination of the Adobe esign function.
  • Document Administration: Manage Non-Disclosure and Master Service Agreement, develop a Review Calendar to manage the annual review all policy and procedure documents, and develop a repository for all documentation to be held.
  • Corporate Car Parking: Manage the Corporate car spaces, prepare data for annual FBT lodgement, and oversee the relationship with the car park provider.
  • Facilities Team Support: Provide assistance to the Facilities Team in a range of administrative functions including In-Box Management. Security Form processing, Floor Walks, Facilities In-Box statistics, and Reception cover as required.

What we're looking for

  • Highly experienced administrative and numerical ability
  • Intermediate level working knowledge of MS Word, Excel & Outlook, including MS Meeting Room Booking System
  • Exposure to contract management related functions would be seen as highly advantageous
  • Someone who can deliver accurate work with an eye for detail
  • Excellent written & verbal communication with the ability to solve problems logically
  • The ability to work independently with limited supervision
  • Solid time management & organisational skills with excellent customer Service skills
  • Someone who is selfmotivated and prepared to pitch in and assist the team as required
