    Job Description:

    If you are an organised, dynamic and confident Executive Assistant who has a passion for Pets and working with a fun and busy Leadership team, we have the role for you.

    Mars Pet Nutrition is on the hunt for an Executive Assistant to provide direct high level administrative support to the Pet Nutrition Leadership Team.

    You will play a crucial role in managing part of our Leadership Team executive schedules, coordinating meetings, handling confidential information and providing overall administrative support to enhance the efficiency of our Leadership Team. You will be able to build relationships with other members of the Mars Family, provide solutions in a timely manner and demonstrate a high-level of integrity, composure and understanding to the confidentiality and commercial sensitivity of their work.

    What are we looking for?

    • Relevant degree or qualification in high-level administration management; Diploma of Business, Graduate Certificate in Business Administration etc.
    • Previous experience in a similar position
    • Delivering and managing a high-level customer service in a highly dynamic environment
    • Demonstrated high-level of competency with a range of office software and online programs (MS Office Suite)
    • Experience in event management and/or marketing/presenting is advantageous
    • Strong attention to detail

    What will be your key responsibilities?

    • Efficiently manage and prioritise executive calendars, scheduling meetings, appointments and travel arrangements
    • Coordinate and manage all domestic and international travel arrangements
    • Maintain a high level of confidentiality in all interactions, exercise discretion and professionalism in dealing with executive-level communications
    • Manage multiple tasks simultaneously, ensuring deadlines are met and important matters are addressed promptly
    • Organise and coordinate meetings, conferences and events for executives, including logistics, agenda preparation and follow-up actions
    • Agenda items, minute meetings where required, calendar coordination of all who are required to attend
    • Identify and proactively work on process improvements, cost effectiveness, sustainability and efficiencies in the administrative function.
