Ministerial and Parliamentary positions play a critical role in supporting parliamentary activities for departments and portfolio Ministers' offices.

Services include processing and handling ministerial documents, coordination of departmental appearances at Senate Estimates and committee hearings, accounts payable services for ministerial offices, coordinating legislation across the portfolio, and management of the Parliamentary Document Management System (PDMS).

There are a number of immediate vacancies, across multiple agencies, to be filled through this process. A merit pool will be generated to fill vacancies that arise in the next 18 months across the APS.

We are seeking people with excellent attention to detail, a sound working knowledge of ministerial correspondence and parliamentary systems and processes, or a strong capacity to develop these skills quickly.


We are seeking someone who is professional and passionate about continuously improving processes and expanding the knowledge within the team and across Departments to enhance the support provided to the Prime Minister's and other Ministers' Offices.


Key duties
Ministerial Correspondence Officers contribute to the processing of ministerial correspondence and briefs. This is from delivery, registration and allocation through to quality assurance, printing and dispatch of material. There is an expectation that the suitable applicants will assist with the review and implementation of systems and processes.

Key responsibilities for the positions include:

  • manage ministerial correspondence in accordance with ministerial and departmental requirements
- exercise discretion and judgement, including the ability to action tasks within established work practices and priorities; and identifying priority and sensitive tasks for escalation
- provide complex information and advice to stakeholders
- liaise and negotiate with senior departmental officers and external agencies to ensure the effective handling of ministerial correspondence and briefs and the delivery of relevant information
- deliver and maintain guidelines and provide advice in relation to these guidelines
- coordinate briefs and information requests of the Prime Minister and Portfolio Ministers
- ensure the distribution of correspondence is appropriately administered
- oversee courier duties
- deliver helpdesk services for PDMS
- manage the running and preparation of regular reports
- drive the review and implementation of improvements to systems and processes
- build positive relationships with internal and external stakeholders
- ensure a high level of quality assurance, governance, compliance and timeliness in delivering products and services.


Parliamentary Officers play a key role contributing to the parliamentary activities including coordination of question time briefs; parliamentary questions on notice; and Senate estimates briefings and hearings.


Key responsibilities for the positions include:

  • lead the coordination and quality assurance of Parliamentary material including, Question Time Briefs Senate Estimates briefs and Questions on Notice, Parliamentary Committee Inquiries material and Parliamentary Questions on Notice
- exercise discretion and judgement, including the ability to action tasks within established work practices and priorities; and identifying priority and sensitive tasks for escalation
- provide information and advice to stakeholders
