Our client is seeking to engage an Administrative and Finance Support Specialist in their team.

Position Overview


Our client is looking for a Finance Administrative Assistant with a positive can-do attitude, strong communication, administrative and organisational skills to join their team.


The successful applicant will be responsible for performing a wide range of administrative activities to support business operations and ensure the smooth running of our office, with the flexibility to act as a backup and provide relief coverage on days when other administrative staff are absent from the office.


Duties & Responsibilities:


  • Consolidate data/info from participants/colleagues/managers (Weekly schedule, weekly highlight, monthly report etc.).
  • Maintain necessary data in database and file documents.
  • Support office daily work and liaise with internal cross function to ensure smooth and excellent operation.
  • Facilitate meetings with universities /vendors independently or with colleagues/managers as requested.
  • Support to coordinate with external agencies for service evaluations, contract renewals, etc.
  • Support office budget management and phasing, i.e. create requisition/request for payment.
  • Maintain supplies inventory by checking stock, anticipating needs, and placing orders.
  • Support financial advisor with tuition payments, reimbursements, and other financial responsibilities.
  • Support AAS finance with Australia office accounting duties.
  • Process suppliers' invoices and staff expense claims.
  • Support office travel schedule, visa etc., assist to prioritize items and draft itinerary.
  • Support any ad hoc requests related to Admin/secretarial.
  • Associate degree or above: Bachelor degree preferred.
  • Five (5) years of experience in secretarial or general supporting jobs with a focus on finance (related department background is preferred).
  • Attention to detail, strong communication skills, and customer service oriented.
  • Protects sensitive data, ability to analyze data is preferred.
