About the role

As such, we need a Support Officer to join our Rail Academy in Newport.

Reporting to the Rail Training Centre Manager, the Support Officer will coordinate all aspects of the daily operation of Rail Academy Newport training centre to ensure that it runs effectively and to industry standards.

The role will be based mainly at the Rail Academy in Newport and will provide support to the Rail Academy team as well as providing customer service to users of the training facility.

The Support Officer will be required to work alone as required and work a schedule of start and finish times to help the team operate within the opening hours of the centre, including Saturdays when required.

The Support Officer will be required to work autonomously and make decisions to ensure the safe and efficient operation of the Rail Academy.

The role will require you to;

  • Open up the centre and prepare rooms and training spaces for the planned use
  • Coordinate access to rooms and training areas via Rail Academy booking system.
  • Provide administrative support to the Rail Academy team and centre users.
  • Perform procurement of goods and services in accordance with the procurement policies and procedures.
  • Perform account receivables and payables invoice processes.
  • Maintain stock in office, classrooms, and refreshments consumables.
  • Organise and attend meetings where required to ensure the continual development of the training centre facilities.
  • Take part in OH&S activities such as safety inspections and housekeeping audits.
  • Perform administrative document filing.
  • Review and update safety and operating procedure documents as required.
  • Review training organisation's documentation against set procedures to make decisions about authorising training activities.
  • Assist with creating training and other documentation as needed by the wider Industry, Capability, and Inclusion team.
  • Provide support at Rail Academy promotional events.
  • Provide supervisory support to adhoc projects.
  • Liaise induction process and review with contractors on safe system of works.
  • Ensure site is locked and secure prior to leaving.
  • Monitor the site, contractors and training activities, taking necessary action to ensure the safety procedures and adherence to the COVID19 Safe Plan are always observed by Academy users.
  • Provide support in coordinating training facilities for training organisations utilising Rail Academy.
The Support Officer position is a 12 month fixed term contract, paying between $72,751 - $88,336 plus superannuation.

Let's get technical What will we expect from you?

  • Demonstrated experience in administration, prioritising tasks and organisation of your workload.
  • Excellent written and verbal communication skills, with a proven ability to communicate with a range of stakeholders.
  • Demonstrated ability to use a broad range of computer software to undertake administrative tasks, particularly Microsoft Office, Outlook, OneNote, OneDrive, SharePoint, DocuSign, and Content Manager.
  • An ability to recognise behaviours that promote a culture of inclusion and hold self and team accountable towards being inclusive to individuals from diverse background.
