About the role:


Metro Trains Melbourne (MTM) is the proud operator of Melbourne's Suburban train network and a key participant in major project delivery as part of Melbourne's Big Build initiative that requires a complex management system for it to meet its MR4 and National Rail Safety Law and ISO Standards commitments.

Management Systems Specialist. Reporting to the General Manager Systems & Quality, you will be responsible for engaging with key stakeholders across MTM divisions to ensure that the integrated management system is aligned to the business needs and drive continuous improvement opportunities to streamline document processes, improve system structure, and overall document content.

Accountabilities
The key responsibilities of an
-
Management Systems Specialist will include but not be limited to:

  • Define controlled document types and minimum requirements to assist the business in documenting their processes to support an Integrated Management System.
  • Define the minimum requirements of MTM controlled document layout and company templates.
  • Definition and categorization of MTM controlled document types and aligning them to the Integrated Management System.
  • Maintain and continuously improve the Business Classification Schema (BCS) within Objective CMS that supports the company needs and simplification of the Management System.
  • Provide fundamental document type content and authoring/editorial advice to the business in support of controlled document quality.
  • Setup a document parentchild relationship to ensure upwards and downwards traceability between documents.
  • Provide document quality assurance through regular sample auditing of documents and providing constructive feedback to the document owners and QA Manager in line with continuous improvement principals and ensure consistent messaging across the business (including security classification of documents).
  • In conjunction with the QA Manager monitor and review applicable legislation, standards and riskbased document reviews and update cycles.
  • Consult with the QA Manager and identify Content Management System improvements. Lead workshops (if required) with the key stakeholders to identify value add system improvements.
  • Provide regular progress reports on set tasks as specified by the General Manager Systems and Quality.

Desired Qualifications, Skills and Experience:


  • Tertiary qualifications in Business or Technical disciplines that include
    document writing qualifications and/or training.
  • Previous experience implementing document management systems and version control.
  • Minimum five years of management systems integration with detailed knowledge of ISO 9001 and familiarisation with ISO 14001/45001/55001 Standards
  • Sound understanding of management systems, their document hierarchy and document writing experience.
  • Proven technical writing experience within:
  • large high risk safety focused organisation.

  • Experience in providing guidance and coaching across a complex business in integrated management systems, document hierarchy and document content.
  • Strong interpersonal skills with ability to communicate and interact with stakeholders.
  • Ability to deliver high quality documentation with excellent attention to detail.
