Eden Ritchie is seeking a
Cost Controller/Scheduler to assist in the disbursement and management of funds associated with several limited life funding programs.

You will be required to support or lead as directed the collation, tracking and reporting of project funds. Further, you will undertake project reporting more generally, to communicate project status, risks and forward projections to executive management.

14 month contract with possible 2 x 12 month extension:

As the Cost Controller/Scheduler, your key responsibilities will include:

  • Design, produce and manage custom monthly financial dashboards for reporting to the Board and Minerals Geoscience Team Management.
  • Produce and manage the monthly Tailored Resources Project Status Report (financial section only) for the monthly Board meeting.
  • Prepare and submit the annual program budgets and any subsequent revisions in coordination with the Minerals GeoscienceTeam Management and Chief Government Geologist.
  • In conjunction with the Executive Officer, maintain Folder Security Access to ensure that authorised personnel only have access to files relevant to their duties.
  • Record and be familiar with all contracts and POs relating to projects.
  • Review new contract cashflows against budget to ensure that all expenditure has adequate approved funding.
  • Ensure that each program has adequate contingencies to cover cost increases, scope changes and time delay.
  • Design and maintain a logical WBS project code structure that will integrate with the wider DoR coding structure and provide an adequate reporting base.
  • Have the skills necessary to accurately extract financial data from the SAP database.
  • Liaise with and answer queries from Corporate Finance staff to ensure that good communications and relationships are maintained and that a common view of complex programs is achieved.
  • Provide high level commentary on the financial status of each active project/program, proactively highlighting any financial anomalies for escalation to the Chief Government Geologist.
  • Design, develop and maintain Cost Plans related to grants programs and other limited life funding programs showing past, present and forecast cost outcomes and budgets.
  • Design, develop and maintain Cost Plan extracts and transactional analysis for Project Leads so that there is a common view of the projects being managed.
  • Design, develop and maintain program and project Risk Registers that comply with DoR policies and procedures.
  • Design and maintain a Grants Register linked to SAP that will provide the Minerals Geoscience Team Management and Chief Government Geologist with a realtime view of grants made, withdrawn, adjusted and paid.
  • Set up Project Management Plan templates relevant to project size and importance.
  • Ensure that Project Leads are adequately trained and able to understand and update the project Risk Registers on a regular basis and interpret the Cost Plan extracts and transactional analysis provided to them.
  • Design and maintain the Project Schedule Summary and liaise with Minerals Geoscience Team Management to ensure that it is updated monthly.
  • Liaise with the Chief Government Geologist and the Minerals Geoscience Team to produce deferral documentation for submission to QT.
  • In conjunction with the Minerals Geoscience Team Management, prepare monthly accrual documentation with supporting information.

  • Undertake any adhoc reporting or tasks, as directed by the Chief Government Geologist

This position requires:


  • Experience in project management, project planning and project control processes
  • Assist the Project Team(s) to:
  • Define, evaluate and prioritise project tasks
  • Identifying risks and recommend mitigation solutions
  • Develop and monitor task and project cost estimates
  • Establish appropriate reporting and communication mechanisms with management and contract personnel
  • Excellent computer skills with in depth knowledge of planning and scheduling software
  • Provide interface and quality assurance to project managers and others as required regarding the tracking and reporting of schedule performance
  • Develop good working relationships with project team.
