Our client is one of four critical departments that support the highest level of government - the Australian Parliament. They provide services to support the functioning of Australian Parliament and the work of parliamentarians.


The Opportunity:


This is a fantastic role for an established administrator at the current APS5 level or someone who is looking for the opportunity to step up into an APS6 role.


  • Expand your skills to include research and preparation of information reports on a diverse range of topics
  • Opportunity to work with the Deputy Secretary and other senior executive support teams

The Role:

Provide high-level administrative support to senior executives, including scheduling of meetings, coordination, management, and quality control of correspondence.

At the higher APS6 range you will need to be able to undertake and assist with the coordination of the Office of the FAS activities and monitor progress of key deliverables, ensuring completion within deadlines and achievement of required outcomes.


APS5

  • Support of one or more Assistant Secretaries (SES Band 1) within the Division and coordinate the administrative functions and operations of the work area
  • Provide highlevel administrative support to Executives as required. This includes diary management; coordination, management and quality control of correspondence and other electronic and paperbased material; the preparation of minor correspondence; financial management; conduct of less complex research; and the efficient use of office systems
  • Initiate advice, regular reporting and respond to requests from Executives and stakeholders for information on administrative or operational matters
  • Contribute to the planning of a work area including development of branch business plans, establishing priorities and monitoring progress

APS6

  • Manage accommodation arrangements, including the allocation of staff parking and access passes
  • Contribute to the ongoing development of efficient and effective work practices across the Division to ensure completeness, accuracy, and timeliness of information
  • Research and prepare advice, coordinate information and reports on a diverse range of topics and assist sections with ad hoc tasks, including recruitment and procurement activities
  • Prepare and review high level communications, correspondence, briefs, and submissions as required

Your Background and Experience:

You are an organised individual with prior experience as an executive assistant or senior administrator in the APS.

You are a strong communicator and you bring an exceptional level of professionalism, integrity and discretion to all your interactions with internal and external stakeholders.

You are an excellent multi-tasker, have an eye for detail and have the ability to effectively follow direction and procedures as well as think on your feet and problem solve.


In addition you will have the following:

  • Excellent interpersonal skills; the ability to develop and maintain effective relationships and an advanced level of oral and written communication skills
  • Welldeveloped organisational, time management, problem solving skills and the ability to adapt to changing work priorities
  • Proven experience working in a discrete and confidential manner and working with a diverse range of stakeholders and varying your communication style to the individual
  • Strong level of proficiency in using Microsoft suite products, including Outlook, Word and Excel
  • Australian citizenship and a current Baseline or NV1 clearance are mandatory in order to be considered due to the urgency of this role

Salary / Rate:

- $50/hr - $65/hr + 10.5% Superannuation

  • Initial 6month opportunity with extension options
