As an Executive Assistant, you'll play a crucial role in the seamless operation of our dynamic team, providing essential support to two directors and playing a pivotal part in the planning and execution of an upcoming event.

This role demands a blend of organisational skills, attention to detail, and the ability to manage multiple priorities efficiently.

Key Duties and Responsibilities:

Diary Management: Efficient co-ordination of multiple diaries, with careful consideration for international time zones.

Inbox Management: Maintain oversight of Outlook inboxes, ensuring timely responses and systematic organisation.

Travel Coordination: Manage detailed domestic and international travel arrangements, optimising schedules and logistics.

Teams Site Management: Oversee the organisation and upkeep of Teams sites, ensuring seamless collaboration and access to resources.

Event Coordination: Play a key role in the planning and execution of significant events, including workshops, showcases, and conferences.

Financial Administration: Handle credit card reconciliations and invoice processing with accuracy and promptness.

Project Support: Provide support with procurement, contract management, and the scheduling of interviews.

Specific Event Responsibilities: For our Annual Workshop and Impact Planning Day, tasks encompass venue co-ordination, AV setup, accommodation arrangements, attendance management, and on-the-ground support.

  • Exceptional organisational skills with the ability to manage multiple tasks efficiently.
  • Strong communication skills, capable of coordinating with internal and external stakeholders.
  • Experience in administrative support roles, preferably within a science or engineering environment.
  • Proficiency in Microsoft Outlook and Teams, with a knack for technology and systems management.
  • Detailoriented with a proactive approach to problemsolving and project management.
