Description
We are currently seeking a highly organized and detail-oriented individual to join our team as a Project Support Officer.

In this role, you will play a crucial part in providing administrative and project support to our project managers and team members, ensuring the smooth and efficient delivery of projects in compliance with relevant legislation, organizational policies, and procedures.


Responsibilities

  • Provide highlevel administrative support to project managers and team members, including coordinating team meetings, capturing and distributing minutes, preparing documents and reports, maintaining spreadsheets and registers, and delivering timely information and presentations as required.
  • Assist with projectrelated financial approval documentation, contract administration systems, and procurement activities, including the preparation of procurement documentation, liaising with external parties, and supporting tender processes in alignment with departmental procurement guidelines.
  • Ensure accurate compilation, tracking, and recording of infrastructure project documentation, and follow up to ensure timely delivery and approvals within established timeframes.
  • Collaborate with various Project Managers to provide administrative support, ensuring tasks are completed within specified deadlines.
  • Uphold operational practices and maintain service and performance standards that comply with departmental and regional policies, legislation (including WH&S), and governance obligations.

Requirements:


  • Proven experience in providing highlevel administrative support in a projectbased environment.
  • Proficiency in using a broad range of computer software programs, information management systems, and databases.
  • Strong organizational skills and the ability to multitask effectively in a fastpaced environment.
  • Excellent written and verbal communication skills, with the ability to prepare and present reports and presentations.
  • Familiarity with financial approval processes, contract administration, and procurement activities is desirable.
  • Attention to detail and a commitment to accuracy in compiling and maintaining project documentation.
  • Demonstrated ability to work collaboratively as part of a team and build effective relationships with stakeholders.
  • Knowledge of relevant legislation, policies, and procedures related to project management and governance.
  • Must have full working rights in Australia and be able to pass a national police check.
  • Be willing to travel between Tallebudgera, Nerand and Beenleigh.
