MAYDAY is seeking an experienced Project Administrator to join a privately owned, Facilities and Construction Maintenance Company in Kirrewee.


The purpose of this role is to ensure project processes are developed and maintained, and that all information and documents are accurate and recorded - including the preparation and maintenance of work orders, completion of works, progress supplier invoices, and schedule updates in the Pronto system.

This role is a contract position with a view to moving to a permanent contract.

Role responsibilities:


  • Manage inquiries from internal stakeholders
  • Raising POs and managing invoices
  • New supplier onboarding
  • Reporting
  • Work with Project Managers and Site Supervisors to coordinate schedules of work
- assignment of subcontractors to budgeted works.

  • Follow up with suppliers and contractors for Invoices and works status,
- ensuring scheduled work, materials and trade service process complies with company policies
- ensuring services are scheduled using the correct and accredited trades

  • Scheduling regular meetings with Project/Construction Managers and recording decisions, assigned tasks, and tracking next steps
  • Complete Progress Reports weekly
  • Ensure all subcontractors have uptodate licenses, insurance and accreditation

What you need:


  • Previous experience in a Project Admin/Project Coordination position
  • Experience in the Construction or Facilities Management industry essential
  • Ability to engage with multiple stakeholders
  • Ability to work well in a busy environment, managing competing priorities and tight deadlines
- intermediate to advanced Microsoft Office skills including Outlook & Excel

  • You must have full work rights
  • Ability to commute to Kirrawee 4 days per week
