Job Summary:


Key Responsibilities:


  • Manage and maintain the Director's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Provide gatekeeper and gateway role, facilitating optimal access to the Director's time and office.
  • Communicate and handle incoming and outgoing electronic communications on behalf of the Director.
  • Assist in preparing for meetings and presentations, including gathering documents and preparing briefing papers, reports, and presentations.
  • Serve as a liaison between the Director, clients, staff, and other stakeholders.
  • Manage and reconcile the Director's expenses.
  • Support Director actions, prioritisation, and approvals within Asana.
  • Take minutes during meetings and set actionable items for the Director, additionally driving her deadlines.
  • Manage and prioritise internal requests that require Director approval.
  • Organise and coordinate executive outreach and external relations efforts.
  • Enhance the Director's effectiveness by providing information management support; representing the executive to others.
  • Handle confidential documents ensuring their security.
  • Prepare and edit correspondence, communications, and other documents.
  • Provide additional support to the General Manager as required, ensuring seamless coordination/alignment between the Director and General Manager.
  • Provide office manager with Director/GM instructed timelines and deliverables ensuring tasks run to schedule and manage status report on ongoing office items
  • Maintain a professional office environment and provide a welcoming atmosphere for clients and partners.

Requirements:


  • Proven experience as an Executive Assistant or in other secretarial positions.
  • Full comprehension of office management systems and procedures.
  • Exemplary planning and time management skills.
  • Ability to multitask and prioritise daily workload.
  • Highlevel verbal and written communications skills.
  • Discretion and confidentiality.
  • Must be organised, proactive, and adaptable.
  • Able to prioritise and adjust on the fly to manage a dynamic workload.
  • Degree in business administration or relative field preferred.
