About the role:


Duties:


  • Provide high level executive assistance and administrative support to the CEO
  • Communicate with the organisation's Executives team, Board members, suppliers, and clients at the direction of the CEO
  • Manage and maintain the diary for the CEO including internal and external commitments
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings
  • Coordinating meetings, functions and business events
  • Managing travel, accommodation, itineraries, and background briefings
  • Organise business appointments and travel arrangements for the CEO
  • Preparation, collation and distribution of documents
  • Develop action plans in consideration with time constraints and resources available
  • Compiling weekly & monthly reports
  • Assists the CEO with the preparation of Board and Committee meetings and documents
  • Create agendas, supportive documents & presentations required for meetings
  • Complete and submit expense reports, process invoices and track purchasing requests
  • Provide support for office and marketing projects

Desired Skills and Experience:


Essentials:


  • Minimum 5 years' experience in an Executive Assistant/ Personal Assistant Role
  • Advanced knowledge of Microsoft Office suite
  • Ability to work with stakeholders at all levels
  • Demonstrated ability to multitask and operate in a faced paced environment
  • Attention to detail, with strong administrative, planning and organisation skills
  • High level written and oral communication skills, and highquality report writing
  • A high level of competence in taking minutes at meetings
