    Description

    QIFVLS is a state-wide Community Legal Practice with offices across 8 regions in Queensland. We are a not-for-profit organisation that provides free legal services, including court and tribunal representation, welfare support, advocacy and community education to Aboriginal and Torres Strait Islander victims of family violence and/or sexual assault.

    About the role

    The Office Manager is responsible to ensure the office is functioning effectively and efficiently. The role includes ensuring operations run smoothly and includes managing the team workloads, productivity, travel, purchasing and timesheet approvals. Writing and providing reports to the Principal Legal Officer for funding and statistical requirements by the funder including meeting strict deadlines.

    About You

    As a skilled Office Manager you will be able to demonstrate professionalism and a commitment to providing a high level of service and continuous improvement. Strong coaching skills including administration and governance are perquisites underpinned by a willingness to adapt to challenges and opportunities and to advocate a positive and constructive organisational culture.

    Duties and responsibilities include but are not limited to:

    Management

    Lead by example with behaviour that is productive, professional collaborative, flexible and operates within a cohesive approach across a multidisciplinary team.

    Assist in the development, implementation and monitoring of long-term business and operational plans incorporating measures that deliver agreed strategic targets

    Duties and responsibilities include but are not limited to:

    Monitor, screen, respond to and distribute incoming communications.

    Assist in drafting general correspondence and communications to the team

    Ensure procedural compliance is adhered to procedures are managed in accordance with company policies and procedures

    Provide timely reports to the Principal Legal Officer (PLO) for funding reporting purposes and Board Reporting

    Prepare service delivery reports in conjunction with the team

    Provide direction, leadership, and motivation necessary to support the team

    Lead by example, treating stakeholders and colleagues with respect and tact, encouraging a collaborative and supportive team environment.

    Purchasing

    Approve purchase orders as required in accordance with the process

    Travel

    Map out, manage and approve staff travel and accommodation arrangements for the team

    Provide Travel Request Forms promptly to the Administration Officer-Head Office for processing of travel allowance payments.

    Other

    Perform other related duties as required

    You will also possess a current Open Drivers Licence and you must be eligible to work in Australia.

    A cultural appreciation/understanding of Aboriginal and Torres Strait Islander people is essential or having worked previously with Aboriginal and Torres Strait Islander clients would be advantageous.
