What this opportunity involves:

An exciting opportunity has arisen for a Paralegal to join our team in Melbourne. You will form part of the Transaction Management team responsible for meeting all contractual requirements nationally. This includes leasing strategy, governance, transaction activities and financial control.


This role is a critical enabler to the delivery of the Client's property strategy and plays a significant role in leading lease negotiation and cost reduction initiatives across the national property portfolio.


What this role involves:


This Paralegal position is an enablement role that works collaboratively with the Transactions Management Director; Transaction Management teams; client stakeholders; and external legal providers to coordinate the negotiation and execution of lease documents for the client's national portfolio.


The primary focus of the position is to manage, support and ensure direct report compliance with the timely turnaround of lease documentation which if not achieved effectively could expose the client to risk.

Identification, monitoring and escalation of risks along with recommendations to mitigate them is also critical.


Close monitoring of legal expenses in line with agreed fee scopes and client endorsed budget is required, and so too is assisting the Transactions Management Director with reports to Finance on forecasting and accruals if required.

The Paralegal will provide ad-hoc assistance to the Transaction Management Team including reporting and analysis, will consider and implement process and policy improvements and will educate the wider Team about these changes.

Preparedness to develop a strong understanding of the client's suite of Precedent documents and utilise that understanding through efficient negotiation of BAU matters to project/high profile matters
Checking the accuracy and compliance of deal instructions from leasing executives in accordance with internal policy
Instructing external solicitors and reviewing their legal advice or draft documents for both Precedent and Landlord drafted documentation
Progressing lease negotiations within set timeframes and in line with the client's strategies
Liaising with leasing executives and other internal team members for instructions in relation to negotiations
Endorsing final documents and facilitating execution by the client
Adhering to timeframes from instruction to finalisation and escalating any risks to the client where these arise
Updating and maintaining the online paralegal database, and hard and soft copy files
Assisting with monthly reporting and attending meetings as required
Assisting the wider team with general ad-hoc queries such as lease interpretations, disputes and commercial transactions

Holds either Legal or Property qualifications and/or has relevant experience within a firm or 'landlord/tenant' organization
Demonstrated understanding of leases or contracts, ideally gained in either the Property or Legal industry
Demonstrated understanding of leases or contracts, ideally gained in either the property, telecommunication or legal industry
Sound written and oral communication skills with good listening and presentation skills
Superior attention to detail and high regard for quality standards
Ability to deal with ambiguity and address complex problems with an evolving environment
Demonstrates the ability to maintain, manage and report accurate transaction and financial data across a large and complex portfolio
Strong organizational skills with a positive approach to prioritise work and meet tight deadlines
