We currently have an exciting opportunity for two experienced Executive Assistants to join our People and Culture division.

These roles will provide 2:1 EA support to:

  • Executive, People Shared Services and Executive, Talent.
  • Executive, Capability & Culture and Executive, Reward, Performance & Workforce Relations


You will oversee and provide high level administration support by undertaking a wide range of administrative, organisational, and advisory duties, both complex and discrete, associated with the overall management and operation of the office and business unit.


Key responsibilities will include:


  • Ensure your executives are fully and seamlessly supported in an accurate and timely manner in all aspects of the execution of their role, and that their time can be directed to managing executive level activity.
  • Ensure all administrative matters in the office are undertaken proactively and efficiently.
  • Ensure Executive time is structured according to their priorities and that they are prepared for meetings, conferences, and functions.
  • Attend meetings, as directed, and take/manage actions where appropriate.
  • Management of contract/expenditure approval flows and associated documents.
  • Onboarding / offboarding of executive's direct report employees including creating roles in SAP, SAP movements, ordering provisioning (laptops, logins, security passes).
  • Ensure enquiries are dealt with in a professional and effective manner, through either personally handling enquiries or delegating them to appropriate person.
  • Maintenance of distribution lists, shared drive access.
  • Conform with all internal operating policies and procedures relevant to the position.
  • Delegated Systems: Raising/Approvals (Sourceline, FlexiPurchase, PAP, Phub/SAP, MyID, Service NAB, Colleague Connect, etc).
  • Manage tracking, reporting and reconciliation against key P&C LT business outcomes, including pcard, mandatory training, contract and invoicing approvals and expiry, team travel, etc.

To be successful in the role you will be/have:


  • Competent in review of monthly expense management and contract/expenditure approval process.
  • Advanced administration skills and competent in Microsoft Office.
  • Capability to work in a fastpaced, at times complex environment.
  • Ability to build relationships with key internal and external stakeholders.
  • Sound time management skills with the ability to multitask and prioritize accordingly.
  • Profound years of experience supporting at Senior Executive level.
  • Expected to be in office 5 days per week, with flexibility (i.e. work from home if/when Executive/s are out of office).
