5 Month contract with potential for extention


Duties Include:


  • Provides administrative and general support across the Business Unit and to external committee's as required
  • Support the Business Unit Coordinator, & Management team as required with the coordination, scheduling and diary management as requested by the Lead Team.
  • Prepare, manage and administer daytoday activities for the Head of Business Unit, this may include; travel arrangements, invoicing, purchase orders and stationary.
  • Produce meeting minutes required as directed & manage & track actions arising as required.
  • Liaise and coordinate information with external and internal key Business Unit stakeholders and committees as required
  • Performing administrative work to schedule & conduct training programs
  • Perform office administration tasks including visitor inductions; Id cards / building access; entry logs; conference room facilities & amenities areas; Notice boards
  • Coordinate management of Office stationery & general Office equipment including sourcing items (i.e. media ads; stationery; catering; venue hire)
  • Procure goods and services (including managing petty cash and using a purchasing card).
  • Coordinate the undertaking of vehicle repairs/maintenance with Logistics Manager.
  • Coordinate the Facilities management of kitchens & office; Including inspections of office buildings (not operational asset sites); administering site security (swipe cards; keys) and ensuring adequate site inductions processes are operating
  • Responsible for organising general maintenance, service contracts and consumables including coordinating calls out for repairs and servicing.

Skills & Attributes:


  • Experience as a Team Assistant or similar
  • Excellent organisational and communication skills
  • Ability to work under pressure and juggle multiple tasks and deadlines
  • Advanced level of MS Office including Outlook, PowerPoint, Word & Excel
  • Flexible approach to work and ability to handle change
