We have an outstanding opportunity for a motivated, enthusiastic and high-calibre Administrative Assistant to join the Gastroenterology Department at Monash Health.


About Us

About The Role


Based at Monash Medical Centre Clayton, this position is responsible for managing the day-to-day Gastroenterology Department operational functions across all campuses, in conjunction with directly supporting the Director and Deputy Heads of the Gastroenterology Unit.

This position is critical to the seamless operations, administration, organisational performance and business outcomes for the largest Gastroenterology unit in Australia.


This role is a highly visible and respected customer service role, it functions as the first point of call for all inquiries while supporting the business of the Professor/Unit Head and Unit, and maintaining strong relationships with stakeholders, business partners, university and multidisciplinary hospital staff.


Key responsibilities include:
- provision of high-level administrative support to Professor/Unit Head Gastroenterology and Deputy Director
- management of Gastroenterology roster for gastroenterology registrars and senior medical staff
- induction and contact link for Gastroenterology junior medical staff
- coordination of unit meetings
- coordination and recording of staff hours, pay, overtime claims and leave cover
- management of key administrative and clerical processes to improve workflow


About You
You are an experienced Administrative or Personal Assistant who thrives working in a dynamic, fast paced environment. You demonstrate a flexible, can-do attitude and strong organisational, communication and time management skills.


You also possess the following:

  • High level of organisational and time management skills
  • Excellent interpersonal skills and the capacity to function collaboratively within a multidisciplinary team
  • Demonstrated ability to work in a complex environment, to meet task requirements to a high standard and achieve deadlines; and to manage changing priorities in a flexible, positive way
  • Ability to prioritise work and exercise discretion with established policies, guidelines and procedures

What You Need:

  • Previous experience working as a Personal or Administrative Assistant
  • Extensive administrative experience in a healthcare setting is highly desirable but similar experience in other industries will be considered
  • Excellent customer service skills and a high standard of both written and verbal communication skills
  • The ability to use initiative and perform tasks independently and be able to work effectively and harmoniously as part of a team
  • Good organisational skills and be comfortable prioritising and meeting multiple demands
  • Excellent interpersonal and communication skills
  • Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury Erecruit, iPM) is desirable
