The Position

Key accountabilities include:

  • Proactive management of calendar and travel for the CVP/GM, support to the CVP/GM in arranging and organising visitors to the North Sydney office or other location, and liaise with the Personal Assistant (PA) of Region and other GMs for arrangements between Region APAC and Oceania or between Oceania and other affiliates where required.
  • Arrangement of international travel for all Management Team members, arrangement of offsite meetings for the Management Team, in conjunction with the MT member chairing each meeting, as well as of invoicing and purchase orders for the CVP/GM where required.
  • Assistance for MT members whose teams do not have their own administrative support for: Individual business expenses, management of contract setup within Coupa, liaison for invoices where required, and limited general administration where required
  • Providing reception relief coverage for short periods where required, and adhoc tasks as required for the CVP/GM and MT

Qualifications

  • Proven and successful track record in assistance to a CVP/GM level role in a busy working environment (pharmaceutical industry experience preferred)
  • Formal administrative qualification desirable
  • MS Office Suite (Word, Excel and PowerPoint)
  • Strong customer service ethic
  • Strong work effectiveness, ability to prioritise and proactive approach
