    Description

    An exciting opportunity to join the National Property Management team at Ray White has become available. This role would ideally suit someone with a property management background looking to transition away from day-to-day tasks and into a corporate role. As part of our dynamic team, you'll work closely with the National Operations Manager - PM, diving into the daily operations and administration that keep our national PM team thriving as they lead groundbreaking national projects. We are looking for someone with strong administrative skills and attention to detail.

    Based in Brisbane City, you'll collaborate with the National Operations Manager and our dedicated PM team across each state, supporting national initiatives. From the PM training program, weekly PM network newsletter - PM Pulse - to recognition initiatives, data analysis, reporting, marketing assets, CRM management via , and assisting with awards and recognition. You'll play a central role in ensuring our team remains at the forefront of excellence and innovation.

    What you'll do:

  • Property Management Training ProgramSet-up training Zoom sessions, attend sessions to monitor chats & allocate break-out roomsManage the training calendar on Support the state team members who are presentingSend out feedback forms and report on feedback to the teamSend out relevant communications before and after training sessionsAssist with the delivery of fact-to-face training at state-based events by organising venues, working with the events team, etc.
  • Manage the CRM via for the national PM teamEnsure new offices are added and closes offices are removedManage all workflows associated with office movementsManage all other boards for the team
  • Property Management data and reportingSend out monthly reporting emails and ongoing reminders to the PM networkSend outstanding reporting lists to the state PM team members to follow upEnsure all new offices are set up for reporting and data integrations into our systemPrepare partnership plan reports for state team members using the Looker databaseAnalyse monthly PM data for any errors and anomaliesPrepare reports for the National Operations manager each month and quarterly for internal stakeholders
  • Meeting coordination, notes and follow-upAttend all project working group meetingsAttend fortnightly team meetingsCapture notes from all meetings, document action items in the boards for team meetings and all working groupsWork with the National Operations Manager to finalise meeting agendas each fortnight
  • Resource Hub managementCoordinate content from team membersEnsure content is reviewed 6 monthlyUpload new content
  • Diary management and arranging travel bookingsFor National Operations ManagerFor state team members for training and events
  • Property Management weekly newsletter (PM insider)Manage the PM insider boardFollow up with team members for articlesWrite articles and organise interviews with PM network members
  • PM MarketingOrganise all marketing briefs for the pm team to send to the national marketing teamPrepare/edit marketing materials in Canva
  • Who you are:

  • Experience in property management is highly desirable
  • Detail and process-oriented
  • Good time management
  • Strong organisational skills
  • Disciplined, well-presented and performance-oriented
  • Strong initiative, willingness to learn and implement new ideas
  • Marketing experience preferred but not required
  • Experience in the following systems is preferred but not essential:Excel/ Google SheetsConcepsend
