- Receive and process remittance advices corresponding with daily bank statements.
- Obtain claim authorization/s, verify discounts are entitled to and process in accordance with standard procedures.
- Reconcile and report variations between invoiced amounts and payments received and follow up all outstanding issues with relevant departments.
- Timely and accurate receipt and processing of approved invoices with supporting documentation.
- Generate payments in accordance with procedures to ensure any discounts available are taken advantage of and late fees or interest charges avoided.
- Review and process staff expenses to ensure compliance with company policies. Ensure expenses are processed/accrued for before month end close. Responsible for staff expense account allocations prior to posting in subsidiary ledgers.
- Ensures monthly statements are sent in a timely manner.
- Monitor trial balance and follow up with customers in arrears to ensure matters are dealt with promptly.
- Negotiate payments and credit hold decisions within guidelines and maintain strong relationships with customers. Communicates decisions to internal team members in a timely manner.
- Responsible for familiarization of customer trading terms within corporate requirements to ensure adherence. Recommend customer credit limit review where needed.
- Responsible for Credit Application process. Maintain communication with prospective new customers and internal staff to ensure approval process is not delayed.
- Review all GL coding of approved invoices to ensure correct allocation of expenses prior to extract file being prepared for upload into ERP system.
- Assist with the preparation and processing of ledger journals in accordance with corporate requirements and generally accepted accounting principles. Ensure data is accurate and available for analysis within timetables.
- Assist with external/internal auditors as needed in the research and retrieval records.
- Maintain accurate customer/vendor information and maintain up to date procedures for all essential functions.
- Strong AR experience, some AP experience
- 2-3 years general accounting experience
- Higher school certificate, Certificate IV or Diploma in accounting or relevant field desirable but not essential
- Exposure to Microsoft D-365 a bonus
