About the role

The Governance Officer is critical to making this happen and is accountable for:
Providing high-quality administrative support to ANZ subsidiary company secretaries, particularly for ANZ's Australian subsidiary Board and Committee meetings: scheduling; booking meeting rooms, audio-visual facilities, catering, and travel for non-executive directors; organising internal and external attendees, preparing draft minutes and other meeting documents (eg agendas, action lists and standard papers)

Uploading and publishing board and committee packs and circular resolutions

Attending Board and committee meetings with the ANZ subsidiary company secretary to facilitate the smooth running of the meeting

Assisting the ANZ subsidiary company secretary to on-board directors including conducting background checks

Payment of invoices and reconciliation of own expenses and non-executive subsidiary director expenses

Following processes to provide periodic and ad-hoc entity and director information to internal stakeholders

Monitoring and seeking instructions needed to manage the renewal of business names in Australia, and registering and ceasing business names on request

Other administrative support as requested by the Head of Secretariat and ANZ subsidiary company secretaries

What will you bring?

To grow and be successful in the role, you will ideally bring the following:
Strong experience in administration with high attention to detail

Excellent time-management skills and the ability to manage competing priorities arising from multiple stakeholders and to work at pace to meet business and statutory deadlines

Sound communication skills, and ability to work collaboratively and flexibly in a small team

Proficiency, or ability to quickly develop proficiency, in Microsoft Office programs - Work, Outlook, Teams, Excel, Powerpoint

Demonstrated ability to use initiative, be proactive and be persistent in addressing issues and finding solutions

You're not expected to have 100% of these skills.
