Are you an Event Coordinator extraordinaire? Do you love logistics, building registration sites and travelling throughout Australia to assist onsite at conferences and events? We are seeking a highly organised Event Coordinator to support on logístically challenging events from the client brief to the final account.


The role:

Our client is an established professional conference and event management company specialising in corporate conferences and events. This role is perfect for an Event Administration Assistant or Group Travel Coordinator looking for their next career opportunity.

  • You will coordinate the organisational planning, preparation, and operational requirements of a variety of small events and assist with large meetings and events, whilst taking direction from event managers and senior managers
  • You will organise and coordinate site inspections where required for staff and clients
  • Manage all event data in Events Air and coordinate delegate registration process
  • Delegate management and communication
  • Travel management, including group flights, hotel accommodation and transfers
  • Supplier and venue research and management
  • Coordinate theming, activities, entertainment and production requirements with client and supplier with limited senior supervision
  • Ability to work within budget and deadlines to meet high operational standards
  • Developing WIP meeting agendas, attending WIP meetings, as well as being responsible for the meeting minutes
  • Budget and invoice management
  • Invite & collateral design & print management
  • Client and stakeholder management
  • A minimum of 12 year's work experience in an Events Agency/PCO or Travel Management Company will be highly advantageous. A similar style role in a hotel or association environment will also be looked upon favourably
  • RSVP management experience through online events management tool required (Events Air preferred, but will consider other systems such as CVENT, eTouches etc)
  • Group travel coordination experience preferred
  • Event operations and logistics experience preferred
  • Selfmotivated with a proactive handson approach
  • Strong written & verbal communication and time management skills
  • Strong project coordination abilities planning, coordinating and successful delivery of the event content and collateral for the conference
  • Strong Microsoft suite proficiency (Word, Excel, PowerPoint)
  • Valid drivers' licence is preferred
  • Ability to travel both domestically and internationally when required
  • You will possess the resilience to handle a fastpaced working environment, be able to work autonomously, with a passion for excellence

Salary & benefits:

- $55-65K plus super plus travel allowance
