About the Role

This outstanding opportunity awaits you in the Office of the COO, where you will play a pivotal role within a small team providing executive support and managing a number of high-level University committees and groups chaired by Senior Executives.


Your proficiency will extend beyond administrative tasks as you will have the opportunity to unleash your creative prowess, coordinating compelling content and bringing together impactful content for a range of audiences.

Collaborating with a diverse range of key stakeholders, you will contribute significantly to the success of the COO Portfolio.

Your responsibilities will include:

  • Manage effective, efficient and proactive executive committees, including the timely and accurate preparation and distribution of agendas and papers, minutes and record of actions, and followup of outstanding matters, ensuring an appropriate flow of information to and from committees
  • Support activities across the wider team during periods of peak demand or absences to ensure effective maintenance of administrative support for the daytoday activities of the Office of the COO, establishing processes and procedures to effectively coordinate and streamline the workflows of the executive office
  • Establish and maintain effective information management approaches using the available tools and in line with the appropriate records management policies; develop and maintain effective tracking systems for recording, processing and follow up on ongoing requests

Who We Are Looking For

We are seeking an individual who not only demonstrates excellent organisational capability, strong communication skills and a proactive mindset but also possesses the ability to work autonomously and adapt to change.


You will also have:

  • A relevant qualification and/or relevant experience.
  • Experience working in senior executive support and secretariat roles, supporting highlevel committees, providing administrative support to ensure the efficient running of the daytoday activities including diary management, handling enquiries, and correspondence preparation and management.
  • Knowledge of administrative systems, preferably in a University environment.
  • Demonstrated capacity to exercise initiative and strong judgement.
  • Advanced user of Microsoft Office.

The Office of the COO provides executive and administrative support for the Chief Operating Officer's role as leader of University operations and as head of the COO Portfolio.

The Office also provides operations planning, governance and project support to the COO and COO-P.
