Your impact as Administrative Officer


As we continue to scale-up we are committed to bolstering our internal administration in support of our mission and develop the world's best creative software.

To help smooth the way, we're looking for an Administrative Officer to provide support for a range of administrative duties.

You will sit within Operations business unit, reporting to the Operations Coordinator. You'll work closely with the COO/CFO, Financial Controller, IT and People team.

This is a diverse position which allows you to make a significant and noticeable impact, and you will have the opportunity to grow and develop with the role as it evolves.


Areas of focus:

Support us in scaling operational foundations. Working with the Operations Coordinator, you will support us in developing frictionless systems, business compliance and risk management frameworks, refine business practices, track legal requests and provide general project management support.

General record keeping. A key priority for us currently is developing and maintaining a central repository as a source of truth. You will support us in effective file control and management, creating naming conventions, templates andclearingthe backlog in general filing.
- **- **Finance duties. **Assisting the finance team with processing accounts receivables and accounts payable, account reconciliations, data entry, basic bookkeeping activities, preparation and filing of annual ASIC returns and general maintenance of Corporate Registers.
- **Take on administrative responsibilities across the broader business. **From time-to-time you will be asked to take on added administrative duties across other business units, and free up efficiencies across the business. Your work will speed up our processes and enable your colleagues to be more productive in their roles.


The skill set:

-
Experience in executive assistant, personal assistant or office admin roles. You have worked in roles that have required you to take initiative, manage your time and take responsibility for time sensitive processes that involve a range of stakeholders both internally and externally. You're flexible and are comfortable solving problems that contain uncertainty and multiple moving parts.
- **Proficiency with document tooling systems and financial management systems. **You're a fast learner and adept at using systems and processes to create efficiencies. You pay attention to the detail and are able to demonstrate examples of how you transformed chaos into effective organisation.
- **- **Self-reliant, internally driven and solution oriented. **You are not afraid to take charge of the implementation and management of internal processes. When you see problems or inefficiencies, your first reaction is to make or suggest practical changes to address the problem. You're driven by action, follow up and follow through on ideas.


In 1-3 months, you will
:


  • Complete our onboarding process and become familiar with your colleagues and our workplace culture and tech stack.
  • Have regular 11s with stakeholders you will work closely with, showing an understanding of their role, ways of working and how best to support each individual and the Operations team as a collective.

Between 3 -6 months, you will
:


  • Take control of the workflow system driving outcomes across the Operations business unit and have assisted in speeding up completion times of various initiatives significantly.
  • Develop a sense of proactivity and ability to anticipate what needs to be addressed before they become problems.
  • Receive overwhelmingly positive feedback on your efficiency, ability to get things done and how much people love working with you.
