Fantastic opportunity for a dynamic Executive Assistant to support the risk and legal division of a leading financial services client based in Sydney CBD.

This role will mainly focus on managing Board, Committee and Management Committee processes within the risk and legal division, so we are looking for someone in a board capacity, or legal capacity Executive Assistant.

This is initially a contract for 6 months, with likelihood to extend.


About the Job:


  • Attend to the preparation and distribution of papers, agendas, minutes, standing items, matters arising, circular resolutions and other related tasks
  • Respond to requests for statutory records and corporate information and coordinate APRA, ASIC and auditor reviews
  • Filing and safe keeping of company registers and statutory records
  • Create and maintain internal records including managing Diligent relationship and portals
  • Be the central liaison person and take charge in arranging, managing and communicating the logistics (including calendar invites)
  • Assist with other projects from time to time, and team administration matters
  • Monitor the team's shared mailbox, and respond to and collate documents for with regulatory lodgments and related
queries


About You:


  • Minimum 3 years relevant Executive Assistant / Secretarial Qualifications / Board administration experience, preferably with financial services background
  • Strong written and verbal communication skills
  • Ability to build and maintain great interpersonal relationship skills across internal and external teams
  • Advanced Microsoft Office skills (Word, PowerPoint, Teams, OneNote and Excel)
  • Highly organised with excellent time management skills
  • Strong customer service/relationship management skills
  • Experience with a Board paper dissemination program such as Diligent
  • Strong attention to detail
  • Strict adherence to confidentiality at all times
  • Ability to work autonomously and use initiative to drive success
