Primary Purpose of the Role


Provide support to the program manager or director to plan, manage and report on the successful delivery of multi-stakeholder programs.

Ensure effective coordination between projects including schedule and resource management.

Develop program level reporting ensuring high-quality and accurate financial tracking, along with and proactively maintaining the risk and issue register.


Key Accountabilities

  • Project Planning. Ensure the underlying resource profile, schedule and financial plan are developed, coordinating the timeline, inputs and workshops required to facilitate the development of the Business Case and program management plan.
  • Benefits Management. Support the Business Owner and Program Manager by maintaining the benefits register as part of the full suite of program documentation.
  • Project Governance
. Coordinate the governance routines for the program, and prepare timely and accurate packs and minutes. Ensure program adherence to project disciplines and required documentation. Challenge project managers in their status reports to ensure clarity of progress, action required, and deadline for resolution.

  • Project Management. Coordinate the activities and information management requirements to ensure an accurate source of truth of the program's progress against scope, cost, schedule and deliverables.
  • Resource Management. Coordinate the program's resource requirements, including vendors, and work with line managers to ensure clarity of timings. Ensure resource profiles and schedules are maintained in the program baseline.
  • Risk Management. Maintain and coordinate the resolution of the program's risks, assumptions and issues. Ensure regular reviews are undertaken and reporting is in accordance with expected standards and agreed frameworks. Provide initial contact point for projects, together with information, advice and escalation where necessary to the appropriate program and person.
  • Dependency Management. Manage dependencies and interdependencies across the project, driving the agreement and management of both inbound and outbound dependencies to ensure a successful schedule and ability to realise the project objectives.
  • Stakeholder Communication. Ensure that the project status reports are of high quality, consistent standard and produced to a defined timescale. Responsible for the development of program status reports and distribution to key stakeholders.
  • Change and Communication Management. Coordinate the change and communication activities as part of the overall plan. Subsequently track the delivery of the change and communication milestones as part of the program schedule.
  • Project Closure. Schedule and coordinate the project Post Implementation Reviews, handover to operations of the program deliverables, and handover of the Benefits Realisation Plan. Ensure all project artefacts are maintained in a project structure for future use.

Essential Requirements

  • Bachelor degree in business or related field of study.
  • Qualification or experience in Project Management (Prince2, PMBOK).
  • Three years' experience in related field.
  • Exceptional verbal, written and presentation skills.
  • Ability to work effectively both independently and as part of a team.
  • Knowledge file management, transcription, and other administrative procedures.
  • Ability to work on tight deadlines.
