Role description:


Due to the growing needs of our proposal team, we are looking for a Proposal Coordinator to be part of our team in either Sydney, Melbourne or Brisbane.

This opportunity will see you working on proposals for all units of our business from major transportation projects through to smaller environmental projects.


Role accountabilities:


  • On all proposals, develop a proposal management plan, coordinate and combine inputs from various contributors, ensure RFP compliance, draft nontechnical proposal responses, facilitate reviews, identify gaps within draft responses and perform quality control on final document
  • Schedule all necessary meetings and act as the central point of communication for the proposal response team
  • Support the proposal response team with the internal approval process
  • Participate in proposal strategy and review meetings
  • Combine and format inputs received from various contributors in such a manner that the submission has a uniform and coherent appearance
  • Thoroughly understand the client's required outcomes and tender compliance requirements
  • Understands Arcadis' bid strategy and review it is included in the key messages and win themes
  • Ensure that all proposals are delivered to the client before the submission deadline
  • Managing multiple proposals simultaneously
  • Conduct postproposal evaluations to obtain insights for improving the proposal process
  • Assist in the creation of companywide precedents, keeping key databases up to date (such as CVs and project sheets)
  • Strive for continuous improvement of the proposal process to improve efficiency and effectiveness

Qualifications & Experience:


  • 23 years' experience in a similar role, preferably within the engineering / construction industry
  • Ability to manage multiple projects simultaneously and to work under pressure and to tight deadlines
  • Strong problemsolving and decisionmaking skills
  • Effective verbal communication skills with the ability to influence and negotiate outcomes when needed
  • Ability to build positive working relationships within the business
  • Excellent written communication skills and attention to detail
  • A proactive team player who brings creative and innovative solutions to the team
  • Software skills: Proficient in Word, Power Point and desirable Indesign
