About This Role
Reporting into the EA & Coordinator Team Lead you will liaise with the business regarding external vendor engagements, draft contracts to ensure alignment with local country and Global SOPs and policies, manage contracting templates, the contract lifecycle management system (Determine) and training/answering questions of contract owners in the business.
You will liaise with the business, concerning good procurement practices, adhering to internal policies and procedures, monitoring the procurement process and vendor creation.
Under direction you will prepare reports to Medicines Australia and Medicines NZ of sponsorship, or other support, to HCPs and HCOs.
What You'll Do
Vendor Contracting
- Champion of Key Vendor (nonESE) Agreements for Biogen ANZ Affiliate provides general support for key vendor contracting and liaison with business for other engagements
- Works with ANZ Affiliate to ensure contracts are appropriately executed, stored and uptodate as well as manage expiring contracts in collaboration with S&G Officer
Purchasing Administration
- Responsible for the Preferred Suppliers List ("PSL") and to promote the PSL to all other departments and functions
- Manage purchase order requests through to PO creation as well as payments from payment request to goods receiving and tracking
- Match and receipt invoices to corresponding POs in Oracle system as well as set up new vendors and maintain existing vendors in Oracle system
Transparency Reporting
- Identify required data and data formats, access and clean available data, and prepare transparency reports (ToV & Sponsorships) for submission to Medicines Australia, Medicines New Zealand.
Backup and Support to the Coordinators Team
- Ensure there is appropriate coverage of reception, phone, mail and general office duties coverage at all times, ensuring the office runs smoothly and business continuity is maintained at all times during core office hours.
Qualifications:
Who You Are
You'll be a real people person with the ability to communicate with people effectively and diplomatically using your well developed interpersonal skills.
You will have strong IT skills coupled with a willingness to learn new software as required and be the super user for various internal software systems.
You enjoy building relationships with a variety of internal stakeholders. Ideally, you will have some knowledge of contract law and have experience in compliance or legal processes.Required Skills:
- Bachelor's degree and/or paralegal qualifications
- Paralegal/legal or previous contract drafting experience (eg under direction of legal)
