After a recent promotion, an opportunity has now opened up for a Site Coordinator to provide support and administration at our Mt Gellibrand Wind Farm.


This role is designed to provide administrative support for wind farm activities and support the Site Manager with ACCIONA Energy's HSEQ, risk and compliance requirements, Operational Excellence, document management, reporting, community relations activities and landowner inquiries.

Job Description
General

  • Provide operational administration support to Site Manager and site team and general support for wind farm projects, programs and strategic initiatives and other operational priorities as required.
  • General office administrative assistance including photocopying, filing, document collation, archiving, data entry and any other tasks required to support the Site Manager.
  • Document minutes for site meetings.
  • Assist the Site Manager in the completion of reports KPIs, monitoring performance.
  • Assist to maintain site specific documents, policies and procedures.
  • Prepare and process invoices for payment in line with the company finance and procurement systems.
  • Communication, consultation and coordination of site activities with contractors and visitors.
  • Maintain accuracy and currency of renewable energy sites' registers and records.
  • Maintain site related Maximo system requirements
  • Assist the Site Manager in the daily management of the sites' operational activities.
  • Maintain and monitor training and competencies and liase with HR to ensure reporting and adherence accuracy.
  • Key contact point for various corporate office functions including, corporate services, HSEQ, HR, Brand and Marketing.
Health and Safety

  • Support the Site Manager and the HSEQ team in promoting a strong HSEQ working culture within the team and be an active member of the HSEQ Committee.
  • Drive the utilization and performance of the Integrated Management System or 'IMS' including reviewing, maintaining and closing out actions.
  • Conduct, facilitate and provide support for systematic hazard identification, risk assessments and recommend risk reductions, JSEA and SWMS.
  • Report on monthly and ad hoc HSEQ performance across the site, including contractors.
  • Organise site HSEQ system documents and procedures for AEAG staff and contractors in line with IMS corporate guidance and consultation.
  • Provide monitoring and documenting authorizations, induction and training programs.
  • Support the contractor induction process and utilise the associated systems.
Operational Excellence

  • Support the site to achieve the Operational Excellence Program KPI's and to ensure high efficiency of labour relating to turbines & substation works.
  • Support the site to ensure the reporting systems are accurately recording the work completed and work pending through the Operational Excellence program.
Community and Landowner Relations

  • Support Acciona community events and wind farm visits by third parties.
  • Provide support to ensure positive relationships with local communities and key stakeholders and liaise with the Manager Land and Asset Management and Legal for effective management of landowner related issues as relevant.
Required Skills and Competencies

  • Previous administrative support role including HSEQ activities.
  • Experience working with external service providers.
  • Competent with using Microsoft Office software and databases and the ability to learn new systems.
  • Current Vic or equivalent Australian state driver's license.
  • Ability to work under a matrix reporting structure.
  • High degree of diplomacy and confidentiality.
  • Confident in communicating with various stakeholders, from landholders, contractors, corporate office, suppliers, site technicians and international visitors.
