Job description:

Paxus is currently seeking an Executive Branch Support Assistant to join a short term contract with our government client. You will provide high-level executive support to the Executive Branch Manager and administrative support to the broader team.

Responsibilities

  • Ensure all incoming and outgoing communications are managed in a timely manner, prepare correspondence as required and manage the diary of the EBM including appointment bookings, meetings and overseeing the branch reporting requirements.
  • Develop, implement and maintain processes that contribute to achieving organisational and operational goals, including monitoring the quality and timeliness of documents received or that requires approval by the Executive Branch Manager and ensuring records management processes are followed.
  • Input, coordination and analysis of reporting management systems, including the development of supporting processes and procedures, to extract internal and external reporting data.
  • Support the Executive Branch Manager in the management of partner directorate and senior leadership group relationships, including but not limited to secretariat duties, support at executive steering committee meetings and partner directorate meetings.

Requirements:


  • Demonstrated experience in providing highlevel administrative executive support within a government context and have excellent organisational skills and attention to detail with the ability to meet tight timelines, prioritise workloads, manage competing priorities, and work with mínimal supervision to meet deadlines.
  • Demonstrated written and verbal communication skills including the ability to prepare internal and project related briefs, correspondence as well as high level liaison and interpersonal skills to establish and maintain effective working relationships.
  • Demonstrated experience in coordination, research and analysis of reporting management systems, including the development of supporting processes and procedures.
