About the Role:


Assist the Commercial and Risk team across the Pre-Contracts, Project Delivery and Business Unit functions to ensure that the Commercial and Risk functions and requirements are conducted within the prescribed objectives and to support the respective teams to operate in compliance with John Holland systems and procedures.


What you will do;:


Pre-Contract Support

  • Treat sensitive information with a high level of confidentiality
  • Assist the Commercial and Risk team to prepare and manage relevant precontracts documents including engagements through TSA and CSA's, NDA's and Confidentiality Agreements together with any probity and undertaking requirements as necessary.
  • Assist Commercial and Risk team to manage and finalise all Corporate BU requirements for approval and submission of tenders.
  • Manage the collating, filing and storage of all executed agreements.

Project and Delivery Support

  • Provide assistance to the Project Commercial Team with earned value and productivity reporting.
  • As required, support Project Commercial Teams in areas such as procurement, accounts payable and receivable, and Project Trust Accounts.
  • Assist Project Teams with JH commercial systems and programs
  • Manage the collating, filing and storage of all executed agreements.
  • Assist in Project based Health Checks and assist in implementing solutions and improvements.
  • Manage the receipt, storage and return of all upstream and downstream bank guarantees.
  • Assist Projects and Pre-Contract Teams in managing financial records such as expenses, invoices and purchase requisitions.

BU Support:


  • Identify, modify and improve CAR processes where necessary and as requested from time to time by the Snr Commercial and Risk Manager
  • Assist the Senior Commercial and Risk Manager in managing the day to day communications and interactions with the QBCC, including managing the preparation and submission of MFR reporting, licensing renewals, PTA and BIF Audits etc.
  • Assist the Commercial and Risk team with records management procedures and records, register and version control.
  • Assist in preparing and managing training initiatives, materials and events.
  • Maintain commercial registers including the management of Corporate BU processes such as POA and 127 Registers and document management.
  • Perform all duties in accordance with John Holland policies, processes, reporting, systems and procedures
  • Assist the Commercial and Risk team to manage insurance policy expiries, maintain register of insurance requirements and Certificate of Currency documentation and issuing new certificates to stakeholders as required.
  • Manage due dates and deadlines across the various Projects and Tenders
  • Develop and maintain records management systems, ensuring that information is accurate, upto
- date and stored safely

  • Use project information management systems to identify relevant information related to contractual claims, disputes or assessments.

What we are looking for;:

years' experience in an administrative role

  • Any relevant tertiary qualification or equivalent practical experience in an administrative role
  • High level of proficiency and expertise of relevant programs (experience with online document transmittal programs strongly preferred)
  • Basic knowledge of accounting, data and administrative management practices.
  • A general understanding of the technology and systems associated with records management
  • Knowledge of administrative practices and procedures
  • Knowledge of document management procedures and processes
