Description

Provide confidential administrative support, information and advice to the Executive Director and other staff within the business unit in accordance with departmental policies and procedures, on administrative and financial issues.


  • Arrange and organise appointments, committees, meetings and conferences including catering, meeting rooms, materials and information and providing secretariat support and minute taking as required.
  • Organise travel, accommodation and business arrangements as required for staff and clients.
  • Maintain records management systems including the Ministerial and Executive Correspondence System (MECS) and eDocs, and administer the flow of correspondence throughout the Office. This can include acting as the central point for correspondence and documents, including distribution of correspondence and other documents, and when necessary follow up on outstanding items as well as quality assurance and preparation of documents for approval.
  • Develop and maintain management and administrative databases, process information and prepare correspondence/associated reports for senior officers as required.
  • Manage and maintain the equipment of the office including administering any equipment loans and participating in the annual asset stock take.
  • Be the first point of contact for the Lands Policy office incoming and outgoing correspondence and telephone calls, which includes the maintenance of effective office time management practices by prioritising correspondence, coordination of meetings and conferences and attention to the Executive Director's diary.
  • Undertake research and project work relating to the Executive Director's areas of responsibility and provide advice and options for consideration by the Executive Director.
  • Undertake financial processing activities as required, including purchasing, processing invoices, reconciling corporate card transactions, processing of travel claims and petty cash recoupment.
  • Maintain knowledge, technical proficiency and skills appropriate to the role including compliance with appropriate legislation, policies, procedures and protocols.
  • Other duties as directed and required.
