Due to a recent promotion, we are now seeking a Facilities Coordinator to join our diverse team and report to the Head of Engineering and Operations.
Based in our North Sydney office, this role will focus on administering the maintenance and facilities for each of the managed sites across our property portfolios requiring not only strong administration and system skills but also excellent communication and relationship-building skills as you interact with a variety of stakeholders both internally and externally.
Selection Criteria:
- Detail oriented with strong administrative skills
- Excellent communication skills both oral and written
- Organisational abilities to meet deadlines and prioritise tasks
- Strong computer skills and computer literacy, specifically in Microsoft Office packages
- Ability to build professional relationships with different levels of stakeholders including clients, vendors, and internal teams
- Prior experience or background in facility management, building services, or maintenance management will be highly regarded
- Quick learner with new database and systems
Responsibilities:
- Set up and manage Schedule request for regular maintenance.
- Undertaken building inspections and resolve all tenant request
- Review and process invoices for Portfolio clients, including dealing with accounting enquiries & overdue invoices.
- Assisting with any other portfolio related items.

- A thorough knowledge of the myBuildings database system (training to be provided) to enable assistance to be given to the Engineering & Operations Team upon request.
- Assist with document review and updating in preparation for the External Audit.
- Any other general admin tasks which may be requested of you.
- Training with BOMs with a view to assisting with Building Management duties.
- Coordination between contractors regarding project, adhoc works, from obtaining quotes to engaging contractors by issuing work orders through the myBuildings portal, and following through to the works conclusion.
Principal Accountabilities:
- Complete all work in a timely and accurate manner.
- Ensure all documents and processes are consistent with the Company's QHSE Management Systems and the Corporate Induction Manual.
Salary:
$66, $72,150.00 per year
