MAYDAY Recruitment is currently recruiting a highly responsible, proactive and professional Executive Assistant to join a large and well known commercial construction business.


You will provide exceptional organisational and administrative support to the Principal and Managing Director, as well as support other members of the team to ensure the company maintains a strong focus on its strategic initiatives and ensure their days run smoothly.

  • Full time 12 month Maternity leave contract role. Monday-Friday with some flexibility to work from home

What will you be doing?

  • High level diary management, including liaising with clients and employees; prioritising requests.
  • Review external event invitations with the Director and RSVP to all invitations professionally and promptly.
  • Arranging internal and external meetings as required, including breakfasts, luncheons, dinners, morning teas and coffees.
  • Answering calls, screening calls and forwarding phone messages to Directors.
  • Arranging taxis, flights, accommodation, hire cars and chauffeured vehicles as required.
  • Provide event and marketing coordination to assist in strengthening and promoting the brand at internal, external and charity events.
  • Implement and prepare a budget for each event and create a detailed preevent management plan.
  • Negotiate with suppliers including venue, catering, transport, gift/merchandise etc. pricing.
  • High level accuracy and attention to detail regarding all written documentation and presentations, including proofreading capabilities
  • Advanced writing skills and excellent verbal communication skills
  • Excellent organisational skills and prioritisation skills
  • Proactive ability to see where improvements to tasks are necessary and take initiative to problem solve
  • Computer literate in full Microsoft Office suite
  • Marketing knowledge to assist in strengthening and promoting the brand at the highest level
  • Advanced level of time management and follow up skills
  • Intermediate knowledge of Salesforce would be desirable
  • 35 years+ experience in a senior administration role
  • Experience supporting a Senior Executive
  • Experience with Indesign software advantageous
