The opportunity:


An excellent opportunity for an Executive Assistant to support one of our C Suite executives at AIA, based in Melbourne.

Within this role you will provide efficient and effective administrative and office support whilst developing and maintain exceptional stakeholder relationships across the organisation.

This role will require you to think on your feet, and operate with the highest level of integrity, respect and confidentiality.

This opportunity would suit an experienced EA who has worked in a similar environment within financial services, legal or insurance and has exceptional organisation skills.


To do this successfully you will:

  • Provide comprehensive diary management support such as scheduling appointments and meetings (internal and external)
  • End to end management of meetings including preparation of documentation, presentation packs, agendas and taking minutes as required
  • Proactively anticipate needs and ensure the executive has all the required documentation as required
  • Travel and accommodation bookings in line with the AIA Policy
  • Facilitate general invoicing and expense management
  • Provide key support to the executive in the delivery of business objectives (for example, recognition, engagement, learning and development initiatives)
  • Proven experience in a similar Executive Assistant position within the Financial Services, Insurance or Legal industries
  • Strong written and verbal communication and interpersonal skills
  • High level of attention to detail and organisational capability
  • Excellent digital literacy particularly with Outlook, PowerPoint and Excel
  • Previous experience working in a fastpaced environment
  • The ability to maintain confidentiality and use appropriate judgment and discretion
