ABOUT THE ROLE:


Summary of the role:

Mercy Hospital for Women seeks two dynamic and motivated Administration Assistantsto provide high level administrative support to the Clinical Directors in the Obstetric & Gynaecology Department at MHW.


The Administration Assistant Obstetrics & Gynaecology supports the critical functions of the O&G Department through the provision of high level administrative support and customer service.

You will be required to have excellent attention to detail with the ability to adapt to competing priorities and stay focused in a fast paced and changing environment.


The role entails (but is not limited to) providing administrative support including managing, responding and resolving moderately complex tasks (seeking advice and guidance for more complex issues); meeting secretariat coordination (incl.

agendas, minutes and following up on actions); simple procurement (stationary); management of one or more group mailboxes including triaging and tracking requests; coordination of rosters (and RosterOn when implemented), timesheets, recruitment (essential); following up on mandtory competencies for O&G medical staff; and records management.


The Administration Assistant O&G reports to the Manager Patient Services and are members of a large team and is accountable under direction to perform and achieve moderately complex procedural, operational, administrative and business support work within an integrated environment.

You will contribute to ongoing continuous improvement activities, including contributing new ideas and identifying opportunities to improve the efficiency of the Department.

You are required to have a good understanding of and compliance to relevant legislative frameworks, government decision-making and Mercy Health's mission and policy requirements.

ABOUT YOU:


  • Be selfmotivated, committed and possess strong communication, time management, organisational and interpersonal skills
  • Have an eye for detail and demonstrate initiative managing competing priorities
  • Be expected to plan and complete moderately complex administrative support activities and tasks
  • Resolve issues as they arise and under limited direction, respond to changes in the needs and expectations to achieve outcomes for the O&G Department
  • An understanding of health care in the public sector would be desirable.
  • Be flexible and agile, and have the ability to build and maintain successful working relationships with stakeholders at all levels and work collaboratively in an integrated environment
  • Work independently and handle sensitive data and confidential information professionally
  • Have experience in the use of IT to support administrative tasks are considered essential for success in this role.
