We are seeking to appoint an enthusiastic and experienced Executive Secretary to provide flexible and effective administrative support to our busy team.


This role will suit someone who will enjoy a challenging role supporting the General Manager and Director of Nursing at Melbourne Private Hospital.

Melbourne Private Hospital is a 122-bed private hospital co-located with the Royal Melbourne Hospital. We offer tertiary referral services in the centre of Parkville.

As an Executive Assistant your responsibilities will include:

  • Assist Melbourne Private Hospital's General Manager (GM) and Director of Nursing (DON) with all business matters.
  • Manage incoming calls to the GM's and DON's office by screening, delegating and responding to calls and acting on behalf of the GM and DON
  • Coordinate diary management for the GM and DON, ensuring daily commitments are appropriately prioritised and meet the priorities of the business imperatives
  • Be the IT site coordinator
  • Minute taking for selected meetings
  • Assist in recruitment of new staff and maintenance of electronic personnel records
  • Maintain management of documentation, records and office systems for ease of access of information used by the Executive Team
  • Work as an active team member to support all work tasks

Essential criteria:


  • Authority to work in Australia

Minimum of 1-year administration experience in a similar role:


  • Experience in a hospital environment (desirable):
  • Excellent communication and customer service skills
  • Ability to prioritise and organise work, with mínimal supervision
  • Ability to work in a fast paced environment, incorporating priority changes on a regular basis
  • High level of attention to detail
  • Commitment to service excellence
