About the role


We are seeking an exceptional Executive Assistant to join our team and support the Clinical Manager and two Clinical Directors for Respiratory and Critical Care, Gastroenterology and Liver Services at SLHD.

In this pivotal role, you will be responsible for delivering comprehensive secretarial, administrative, managerial, and executive services to ensure the efficient and effective operation of the two Clinical Streams.


In this role you will be responsible for:

  • Comprehensive Support: Provide high-level support and assistance to the Clinical Manager, Clinical Directors, and the multidisciplinary teams for Respiratory and Critical Care, Gastroenterology, and Liver Services. Manage a wide range of secretarial and administrative tasks to facilitate smooth operations.
  • Streamlining Business Processes: Oversee and coordinate the Respiratory and Critical Care, Gastroenterology, and Liver administration business processes. Implement efficient systems and workflows to enhance patient services and optimize the multidisciplinary service.
  • Personnel Management: Manage and mentor administration staff, ensuring they are equipped with the necessary skills and knowledge to maintain an efficient service for patients (i.e. recruitment, payroll etc.). Provide guidance and support, fostering a positive and collaborative work environment.
  • Meeting Coordination: Provide diary management and secretariat support for meetings and committees directed by the Clinical Manager. Prepare agendas, update action lists, distribute minutes, and fulfill other meeting requirements.
  • Document Preparation: Coordinate responses and prepare briefs, memos, and reports for submission to the District, NSW Health, and the Minister's office.
  • Data Analysis: Generate reports and assist in researching and analysing departmental financial, staffing, and performance data. Support management in monitoring key performance indicators and contribute to informed decision making.

We are looking for someone who has
***- Demonstrated experience in providing professional high-level administrative and secretarial support at a senior/executive level, including a proven capacity to operate effectively in a hospital/medical environment demanding confidentiality and discretion in relation to staff and issues management.

  • Excellent interpersonal and communication skills to liaise and foster positive relationships with a wide range of health professionals and staff at all levels (internal and external to the organisation).
  • Has the ability to work Monday
  • Friday.

About working for SLHD
