  • People, Parliamentary and Communications Division
  • Financial Management
  • Strategy, Data and Measurement
  • Legal

The Role
We are seeking a number of Executive Assistants across the Corporate and Enabling Services Group.

As an Executive Assistant, you will be responsible for providing high level executive and administrative support to the Assistant Secretary and the Branch, managing multiple priorities in a high performing branch in a complex and fast-paced environment.

This includes management of appointments, coordination of meetings and responding to incoming communications.

Executive Assistants will also support the Branch in key administrative tasks including procurement and financial management and help maintain a supportive and inclusive culture.


Duties and Responsibilities
As an Executive Assistant you will work cooperatively across the Branch/Division/Group and with other executive support staff.

Responsibilities of the APS Level 4 Executive Assistance may include:

- managing Branch coordination activities and assisting with workflow management, ensuring tasks are completed according to priority and deadlines,
- providing support for the Branch as required (including accommodation/property needs, support for committees and coordination of requests such as Branch meetings and events),
- anticipating logístical requirements for meetings, ensuring briefing materials are being prepared prior to Assistant Secretary attended meetings,
- supporting procurement activities and payment of invoices as directed,
- preparing minor correspondence, minutes and other written material as directed,
- travel coordination and monthly credit card acquittals,
- providing system and process support across teams, e.g., committee support and possibly production of basic papers as directed,
- liaise professionally with other areas of the department and external organisations, and
- work closely and in conjunction with the Executive Officer in the Division.


Capabilities
We are seeking individuals with the following skills and capabilities:

  • demonstrated planning and organisational skills, including ability to meet deadlines with competing priorities and delivering work to a high standard with good attention to detail,
- demonstrated effective verbal communication skills, including strong interpersonal and communication skills and ability to develop and maintain effective internal and external working relationships, and
- advanced Microsoft Office skills and the ability to become familiar with Departmental specific programs and software.
