We are seeking an experienced
APS4 Executive Assistant to join a Federal Government department on a month contract.
As the
APS4 Executive Assistant you will be responsible for the delivery of timely, efficient and effective high-level administration and executive support to the Senior Executive and branch. You will manage front-of-office functions in a complex and high-volume environment, including managing diaries, workflow, appointments and correspondence, organising events, coordinating travel and collating documentation.
Executive Assistant responsibilities:
Duties are to be performed under the broad direction of your manager and in accordance with the APS Code of Conduct and APS Values.
- Providing responsive and efficient administrative support services to senior executive
- Managing senior executive diaries, organising and coordinating meetings and functions and booking travel
- Keeping track of action list and documents for clearance for the branch
- Liaising effectively and professionally with other senior staff, internal and external stakeholders and clients
- Coordinating responses to enquiries, including drafting correspondence
- Providing secretariat support to a range of committees, including drafting agendas and minutes.
- Providing admin support for branch recruitment
- Proactively drive the efficient and effective operations of the office, supporting other EAs and Executives when required.
Required skills and attributes:
- Ability to work well with others and build coalitions to deliver results, including the ability to work with a diverse range of stakeholders on complex, complicated and often time critical matters
- Excellent Organisational skills including the ability to plan and manage time effectively despite often competing demands
- Strong communication skills including orally and in writing, in addition to strong listening skills
- Ability to show initiative and work autonomously, or as a part of a small team, to deliver results
