About the role


To support our success we are looking for a Co-secretariat Coordinator to join the Company Secretary team based in Brisbane.

As a Co-Secretariat Coordinator, you will provide company secretariat support for Australian Retirement Trust and its Directors


This will include:

  • Providing board secretarial support to all Australian Retirement Trust Group Boards including, but not limited to, drafting minutes, ensuring appropriate records are maintained, and preparing papers to a corporate standard.
  • Providing committee secretarial support to all requested Board Sub-Committees, including, but not limited to, drafting minutes, ensuring appropriate records are maintained, and preparing papers to a corporate standard.
  • Providing committee secretarial support to the C&RM Committee, including but not limited to, drafting minutes, ensuring appropriate records are maintained, preparing papers to a corporate standard, and fulfilling required secretarial responsibilities (including attending meetings to take minutes).
  • Managing the preparation of Executive Committee meeting papers and distributing these within the agreed timeline.
  • Providing confidential support to Directors as required, and a point of contact between the business and the Directors including but not limited to, booking Directors to attend conferences, functions, and events (as requested) and completing relevant documentation associated with such conferences/events.
  • Organisation of logístical and facilities maintenance of all Board, Sub-Committee and directed senior management meetings.
  • Maintenance of the Contracts Register including but not limited to, being a point of contact for the business regarding the currency and relevance of the Contracts Register.
  • Ensuring corporate documents, including Deeds, Charters, Statements, Policies, Procedures, Forms and Templates are current and available to the business.
  • Maintaining centralised Corporate and Board Related Registers.
  • Maintain the Prescribed Information on the public website to ensure compliance with RG252 in conjunction with the Compliance team.
  • Undertaking maintenance of centralised corporate soft and hard copy files including Investment Administration Files, SCT Complaints List and Due Diligence Committee files.
  • Conducting regular reviews of team processes to ensure efficiency.
  • Acting as a Co-Secretariat Coordinator (note this aspect of the role incorporates a formal reporting line to the Australian Retirement Trust Pty Ltd Board Chair in accordance with requirements of AIST Governance Code).
This role is available as a
permanent opportunity.


About you

  • Intermediate skill level in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to work with people at all skill levels.
  • Welldeveloped written and oral communication skills.
  • Ability to maintain confidentiality.
  • Highly organised with the ability to coordinate multiple deadlines.
