Administrations Coordinator/Receptionist wanted

About us:

Moving Mountains Therapy are a progressive and multidisciplinary private practice. We are young team, rapidly expanding in two locations (Matraville and Ramsgate Beach). We provide occupational therapy and speech therapy to children aged 2-18 years old.


About you:

You are a friendly and enthusiastic administrations coordinator. You are outgoing and enjoy building rapport with our families. You take initiative and have a can-do approach.

  • Administrations coordinator required for Ramsgate Beach and Matraville clinics with availability to work 3038 hours/week across 45 days
  • Follow policies and procedures within the practice
  • Managing invoices to third party companies
  • Answering phones in a courteous and professional manner
  • Managing appointment bookings with a customer focus
  • Manage clinical documents appropriately with a high level of accuracy (e.g. type, scan, file)
  • Handle EFTPOS and other payments (private health and Medicare rebates)
  • Liaise with patients and their families in a compassionate manner
  • Maintain patient/practice confidentiality
  • Participate in ongoing professional development activities
  • Any other administration duties as directed by management
  • Clinic housekeeping
  • Assisting therapist with resources preparation as needed (e.g. printing, laminating etc.)

Essential Criteria:


  • Minimum 23 years experience in healthcare and/or customer service
  • Ability to maintain a high level of professionalism and confidentiality
  • Working knowledge of Windows based software system (e.g. Excel, Word, Google Suites)
  • Ability to work independently, show initiative and to multitask
  • Ability to greet and converse with a diverse range of people
  • Excellent communication and a strong customer service ethos and use of positive language
  • Enthusiastic and energetic personality.
  • After school availability
  • Permanent residency in Australia.

Desirable Criteria:


  • Working knowledge of Splose/other healthcare practice software systems.
  • Understanding of private health claims
  • Understanding/experience with NDIS
  • Current CPR certificate within the past three years or willingness to participate in training
