About the role


The Quality Officer is responsible for maintaining the organisations quality management system to ensure control, compliance and integrity of organisational documentation, whilst assuring accessibility and appropriate storage.

Key Responsibilities

Maintain policies and procedures required by the ISO 9001 Standard and other industry standards, working with the senior quality team members in accordance with the relevant procedures for Document and Data Control;
Coordinate the review, publication and distribution of all quality documents, manuals and associated records in accordance with the relevant procedures for Document & Data Control;
Ensure documents are to a high standard of quality, including formatting in accordance with the organisations style guidelines;
Contribute and develop process documents in consultation with the Manager Quality & Clinical Projects and/or Quality Coordinator;
Monitor national office Controlled Document Quality Assurance Reports and action/communicate changes as appropriate;
Manage controlled documents review schedule in consultation with Subject Matter Experts;
Produce reports in a functional format for Monthly reporting requirements and others as required;
Assist with any data review, analytics and analysis of GoldCare and/or other business software reports;
Assist the Quality Coordinator and Manager Quality & Clinical Projects in preparing for required ISO 9001, AS/NZ 4801 and other external audits to retain certification;
Complete internal audits as allocated by Manager Quality and Clinical Projects/Quality Coordinator;
Manage the Continuous Improvement log including follow up of employees and providing updates on these to the Manager Quality and Clinical Projects and Quality Coordinator;
Ensure records are stored, retained and destroyed in accordance with the relevant procedure for Control of Records;
Monitor compliance with record management and use of the archiving platform;
Provide training in the use of the Quality Management System, continuous improvement log, record and archiving management and other systems and processes as required;
Liaise, develop and coordinate electronic based surveys where requested.

What you bring

Demonstrated understanding and experience in quality management systems, document control, and continuous improvement activities to meet organisational accreditation requirements

Demonstrated understanding of principles of continuous improvement approach in the support and development of the organisation and services

Demonstrated ability in using and maintaining a SharePoint Document Management System

Demonstrated ability in production of documents and reports

Experience in developing and writing policy and procedures within the health setting, preferably community care/aged care setting

Demonstrated ability to work to tight timeframes and with attention to detail

Previous experience conducting internal audits would be highly regarded.

Effective communication skills, verbal and written

Competence in high level functions of Microsoft Office Suite

Desirable

Experience working with databases and software such as Survey Monkey, Visio, Adobe Pro
