About us:


Canberra Heart Rhythm Centre is a specialised Cardiac Electrophysiology clinic in Canberra, dedicated for patients with heart rhythm disorders.


We are looking for a dynamic professional and experienced person for a busy specialist Medical practice in Canberra comprising of Cardiology and Cardiac Electrophysiology (Canberra Heart Rhythm).

We are a large team made up of a dynamic and enthusiastic group and are looking for a keen individual to join us.

We are focused on both individual and team-based work, to provide excellent care to patients.


Overview of the position:


The executive assistant role involves:

  • Calendar management of bookings and event scheduling with preparation of agendas
  • Following up pending tasks and setting reminders
  • Liaising with industry under supervision of executive for meetings
  • Arranging national and international travel and itineraries for cardiologist for conferences and webinars
  • Minute taking for meetings
  • Maintaining professional registrations and memberships
  • Second assist with event planning and coordination
  • Arranging procedural bookings, quotes and 1:1 care for patients
  • Assistance and oversight of clinical trials
  • Scanning and uploading of documents
  • Personal assistant duties from time to time


Your role will be to assist with administrative support to allow the executive assistant to focus on company growth and development.

Canberra Heart Rhythm is located in Garran, Canberra.

Our team comprises of 18 staff (administration, nurses, sonographers, research assistants and cardiac scientists), 7 of those being within the administration team.

You will work with all staff closely on a daily basis to complete shared roles, ensure continuity of patient care, follow protocols and provide patients with an enjoyable and memorable experience.

The team is supportive and will assist in guiding your education and training to a point where you are comfortable to work independently.

Essential skills and qualifications required by applicants:

  • Be willing to work flexible hours and work collaboratively in a team.
  • Ability to participate in group collaboration in a clear and concise manner
  • Ability to follow directions provided, document progress and ask for help as needed
  • Proficient computer skills and experience with Microsoft Suite (Outlook, Word, Excel, PowerPoint, etc)

  • Great time management and organisational skills

Desirable skills:


  • Experience in using a medical software (Genie, HealthTrack, etc.) and Medicare billing
  • Work experience of more than 2 years desirable but not essential
  • Experience as executive assistant or similar assistant position
  • Knowledge of Data entry for research (Excel, Microsoft Access)

Negotiable dependent on experience


Why is this position available?


The practice manager's workload is progressively increasing and requires someone to fill the role of EA and assist with daily duties.

This is a newly created position with structure and training programs already established.

$60, $65,000.00 per year
